Forums & Meetings:
Prior to the meeting - we will gather the information needed to make appropriate interpreter selections and provide them with preparation materials they need. In addition to the date, start & end time, and location of the meeting, we will need the following information:

Deaf client name

Please let us know if the Deaf client has any specific interpreter requests

Please let us know if the Deaf client is leading the meeting or presenting in any capacity (this will help us ensure the interpreter possesses the right skill set for this type of work).

The number of participants in the meeting

The purpose/goal/reasoning the meeting is being held

Agenda for the meeting

Powerpoint slides, presentation materials, or other meeting information

For larger forums, please let us know who the interpreters are checking in with upon arrival

Please let us know in advance if the meeting is recorded or live streamed
During the meeting - The need for 1 or 2 interpreters for a meeting varies. If the meeting is one-on-one, often 1 interpreter will suffice. However, if the meeting has multiple participants or is longer in time, it will need 2 interpreters.
Virtual Meeting - If the meeting is virtual, please share a point of contact if there are technical difficulties with the link. Technical difficulties for connecting are very common. It is recommended to schedule the interpreters in advance of the meeting to ensure proper connection. A good practice is to “pin” the interpreters so that the Deaf participants can find the interpreters and see them in entirety. This also helps the interpreters coordinate as a virtual team.
